Deb,
I like the general idea of your "letter to the coach," but if we're
going to say, "We're asking X of you," wouldn't it be better to also
say, "in return, we promise to do Y?"
We might say, for example, "For our part, we recognize the value of
sports in a young man's development, and in turn we will excuse our
Scouts from Scouting activities for important sporting events when
possible."
