The way we Girl Scouts do it is to have a ziploc bag for each car.
Contents:
one for each girl:
Parent permission slip for the event
copy of the "pink form" (membership registration form) with the Health
History on the back
one for each car:
card with Columbia River Girl Scout Council Emergency Numbers
insurance form, to be filled out in case of injury
I just snag the bags when we get where we are going, and then re-distribute
before we leave. Not too hard to sort them out either - I just call out each
girl's name, give them their forms, and they hand them over to the driver.
Some well-organized leaders even have a picture of each girl stapled to their
pink form.
If we are extremely well-organized (this past weekend's backpacking trip on
3 days notice does not count, but it went well), each car also has a nicely
highlighted map, and, if needed, change for toll bridges.
