Steve White asked what documentation he needs for his charitable work with
BSA.

Keep as much information as possible. I keep a "cash" book that
you can buy at any store that sells paper stock, stationery etc.
In it for each date you travel or have an expenditure, write the day
what the expense was for and keep a copy of the receipt if this is
a purchased item. For mileage driven write the date, what the
event was for and write the number of miles driven for that day,
then multiply by 12 cents a mile to get a cost a amount. In this
same book if you have long distance BSA phone calls, write the date of the
bill and the amount of the individual call made for BSA purposes. Also
write down the purpose of the call. Keep a copy
of that phone bill. So, for any expenses you lay some cash out
for write the date, what it was for and keep the receipt.

Your "cash" book will undoubtedly cover several years. At the
end of each year you could put the receipts for say 1995 in one
brown envelope and attach it to the 1995 return or put the return
and the receipts all in one big brown envelope in case of an audit.
Then if you have an audit all you need do is pull out the 1995
envelope with the receipts and your cash book and turn to
the 1995 pages.
