Scout Accounts reimbursement ?

In troops that have Scout Accounts, how do you handle payment of camp
fees? Do you reimburse the family after the fact, pay the fee directly
from the Scout Account, or what? Do you have a form or method whereby
the family lets you know when they want you to use Scout Account funds
for that purpose? (I'm assuming that for equipment purchases you ask
for receipts that you reimburse later.)
