When you submit an advancement report, you get to keep a copy (green
sheet). So you ALREADY have a copy. In our troop, we take ours and
put them in a binder, and number them, and keep track of them on a
sheet for each Scout, with the green sheet number for each merit
badge, rank, etc. When a Scout goes up for his Eagle BOR, we take our
sheets and make copies of the sheets that have his advancement for his
Eagle notebook, and highlight his name on each sheet, so we both have
a copy.
When I got my Eagle, we had several different advancement chairmen,
and not all were as thorough as the one we have now, and there were a
couple of things of mine missing. Council had all of my records (7
years back). I even found where a merit badge had been submitted, but
I never received it (I have it now). We have a copy of all of the
advancement info for the Scouts in the troop. We think of it as just
another backup in case council does purge the records, or the Scout
loses their blue cards or rank cards.
